About the position The Sales Administrative Assistant at DoubleTree by Hilton Abilene Downtown Convention Center plays a crucial role in supporting the sales, catering, and events team by providing administrative and clerical assistance. This entry-level position is designed for individuals looking to grow their careers in the hospitality industry, offering a dynamic and energetic work environment. Responsibilities β€’ Provides administrative and clerical support to the director and managers of sales, catering, and events. , β€’ Handles word processing, typing, emailing, filing, data entry, faxing, copying, and corresponding. , β€’ Answers telephones and processes mail. , β€’ Takes notes and/or dictation as required. , β€’ Takes leads via email and phone and distributes them to the managers. , β€’ Builds house accounts and inputs rooming lists, making adjustments to group contracts, proposals, and banquet event orders as needed. , β€’ Prepares all site visit details for potential clients. , β€’ Prepares amenities for VIP clients and groups. , β€’ Assists the General Manager with setting up VIP reservations and scheduling interviews. , β€’ Completes additional tasks or special projects as requested by managers and directors. Requirements β€’ Strong organizational skills and attention to detail. , β€’ Ability to handle multiple tasks and prioritize effectively. , β€’ Excellent communication skills, both verbal and written. , β€’ Proficiency in Microsoft Office Suite (Word, Excel, Outlook). , β€’ Basic understanding of hospitality operations. Nice-to-haves β€’ Previous experience in a hospitality or administrative role is a plus. , β€’ Familiarity with sales and catering software.
