As a Staff Assistant, you'll be responsible for performing a wide range of administrative tasks, including: * Coordinating meeting plans, writing, and documentation * Ensuring phone coverage, welcoming and coordinating clients, managing mail, and ordering office supplies * Accommodating P-card spending, tracking commemorations and birthday events, and arranging travel and hotel facilities * Providing support for management presentations and special events as required **What You'll Do** * Assist in the planning and coordination of management presentations and special events as required * Monitor, audit, and screen all local invoices through InvoiceWorks and disperse as required * Investigate and resolve office technology issues, including phone and copier machines * Track and ensure employees complete onboarding obligations, including suitable system access, task assignment, letter drops, regalia, identification, fingerprinting, training, etc. * Assist in station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, event dinners, recognition events) * Handle finance handling in Workbrain for management and care staff * Process deprivation letters and arrange local communications and responses * Oversee employee termination, including allowing and tasks, as required * Assist with timekeeping capabilities, data entry, data validation, compromises, and recording * Maintain employee records, as needed * Maintain Station meeting plans, including monthly crisis response * Access and manage various intermittent reports, including performance, review, cost, employee engagement and recognition, etc. * Update required manuals * Maintain all security-related items * Serve as backup for other finance capabilities * Oversee records for OSHA, security, etc. (301's, weekly and annual) * Assist with budget planning and compromise, including monthly closeout of landing charges * Uphold inspecting exercises as required * Track and confirm incentive reserves acquired * Liaise with CRE/Offices and vendors to follow local projects, as needed * Lead/coordinate work with other care staff, as needed * Perform other duties as required **All You'll Need for Success** * Minimum Qualifications: + Bachelor's Degree + Previous office/administrative experience * Preferred Qualifications: + N/A * Skills, Licenses, and Certifications: + Knowledge of Microsoft Office, including Word, Excel, PowerPoint, Outlook, etc. + Knowledge of procedures, policies, and corporate design + Ability to focus on work, be meticulous, and comply with time constraints + Ability to multitask in a fast-paced environment and handle multiple tasks + Ability to be self-motivated and proactive + Ability to understand the concepts and functionality of specific software and systems **What You'll Get** Join arenaflex and take advantage of our comprehensive benefits package: * Medical benefits: Enjoy your health, dental, vision, and prescription benefits to keep you healthy.
