Job Description

They are seeking an Administrative Assistant 1 (AA1) to provide administrative support to Social Service Specialists and maintain efficient office operations. Responsibilities Answer a multi-line phone system in a fast-paced environment Greet clients, providers, and staff Maintain office procedures, standards, priorities, and deadlines while coordinating office operations Act as liaison between clients and Social Service Specialists Screen calls and visitors Timely distribution of communication and documents Create, edit, and review correspondence Process Background Checks, Disclosure, and Discovery Requests Prepare files for uploading to the document management system Uploads court orders, files court documents online and in person as required Maintain filing systems, databases, multiple tracking logs, and computer programs Provide back-up to other Administrative Assistant staff Skills One year of office experience requiring keyboarding or typing Equivalent education and experience totaling one year of office/clerical, secretarial, bookkeeping, accounting, or general administrative work The ability to take action to learn and grow The ability to take action to meet the needs of others This position requires a minimum of at least two years of driving experience and a valid driver's license The incumbent must successfully complete formal training courses as required by law, policy, and regional requirements within one year of their appointment Demonstrated strong knowledge of Microsoft Office, including Word, Excel (multi-level spreadsheet creation experience), and Adobe Demonstrated knowledge of general office procedures and processes Previous experience drafting, editing, and sending electronic correspondence Previous experience editing, proofreading, and drafting memos and other forms of written documents Previous experience operating vehicles for maintenance/repair transport Benefits Employees and their families are covered by medical (including vision), dental and basic life insurance. Full-time employees accrue vacation leave at the rates specified in WAC 357-31-165(1) or the applicable collective bargaining agreement (CBA). Washington State supports members of the armed forces with 21 days paid military leave per year. Most employees whose family member or household member dies, or for loss of pregnancy, are entitled to five (5) days of paid bereavement leave.
